How (and why) to start an Instant Session as an Instructor

Use the “Instant Session” tool to immediately begin a 1:1 Pearl Online Classroom session with a Student.

Prerequisites: You have activated your Instructor account | You need to start a 1:1 Pearl Online Classroom immediately

What is an Instant Session? The “Instant Session” feature enables an Instructor to open a 1:1 Pearl Online Classroom session immediately. 

Why would you start an “Instant Session”?

  1. You don’t want to wait… The regular Booking form allows you to schedule sessions with start times available in 15 minute increments, but sometimes you need to start a session immediately and don’t want to wait 15 minutes. 
  2. Your student hasn’t activated their account yet… The “Instant Session” is a nice work-around option for an Instructor to get into a session with a student who has not yet activated their account. When the Instructor invites the Student to an “Instant Session” the student’s account is automatically activated as they join the “Instant Session”

How to start an “Instant Session”

1. On the Instructor Dashboard, in the “Upcoming Sessions” card, click the “Instant Session” button. 

2. Fill out the “Start A Session Now” form.

Form field details:

  • Student. You may select one student for the Instant Session. If the student you want to book with is not yet a user in the platform, you may invite them as a new student (who is not yet a user in the system) from the booking page by clicking “Invite a student by email” and following the steps. The Pearl Online Classroom is limited to one student and one instructor.
  • Duration. Select the total length of time for the session. Duration options can be customized by an Admin via Configuration>Booking & Sessions. 
  • Is this a billable session? 
    • If you mark a session as “billable”, then…
      • If credits are being used by the organization: It will automatically deduct a session credit from the participating student(s) existing credits.
      • If invoicing is being used by the organization: It will make this session available in the Invoice Wizard for an Admin to reference for invoicing.
      • If neither credits nor invoicing is being used by the organization, then it is simply a tag that can be used for record-keeping or external bookkeeping purposes.
    • If you mark a session as “non-billable”, then…
      • If credits are being used by the organization: It will not deduct a session credit from the participating student(s) existing credits.
      • If invoicing is being used by the organization: The Admin will be able to see that this session has been marked non-billable so that they know not to invoice for it.
      • If neither credits nor invoicing is being used by the organization, then it is simply a tag that can be used for record-keeping or external bookkeeping purposes.
    • Note: If you are not sure how to mark your session(s), please reach out to your organization’s Admin and ask how they would like you to proceed.
  • Program. This is a required field. Select the related Program for this session. You may add and edit Programs on the Programs page accessed by clicking “Programs” in the left navigation bar. 
  • Subject. Add a session subject title here. 
  • Description. Add a session description here.
  • Click the button “Start Session” to save and open the 1:1 Pearl Online Classroom session. The Student and Parent(s) will receive a booking confirmation notification with the relevant session details and a link to join the session. The session information also will show up for them on their Dashboard and in their Dashboard Calendar.
